Illawarra Catholic Club Improves HR Information Management.

Background

Illawarra Catholic Club Ltd is a registered social and general clubs business that operates two leading venues in Hurstville and Menai under the Club Central banner. The business provides premier entertainment facilities and is a base for a number of sporting groups from netball to indoor bowls. As an important part of the St George and Menai communities, Illawarra Catholic Club supports many local charities and community groups, and annually contributes funds to these causes.

Headquartered in Hurstville, Illawarra Catholic Club has a staff of 150 employees plus contractors and volunteers across its multiple venues. The club prides itself on its innovative employment relations practice, and a customer service offering that is second to none.

Challenges

For Illawarra Catholic Club, just like any labour intensive business in the hospitality industry, it’s critical to create and maintain an efficient workforce, and provide employees with a safe place to work. As their employees fall under a number of different award, the Club has to ensure that all employment contracts are strictly compliant with specific Award rates of pay and conditions. It is also essential that the not-for-profit provides adequate training to ensure employees are familiar with and understand the organisation’s HR policies and procedures for everything from WHS to workplace bullying.

Before employing enableHR to help manage its day-to-day HR admin, Illawarra Catholic Club had set up a meticulous, albeit time consuming, process for ensuring compliance with Australian employment legislation, using a folder system on the organisation’s server as well as maintaining a large number of paper files. However, while the not-for-profit was compliant, this system was highly manual, and the paper files could not be accessed away from the office. There was duplication of information, yet no-one place for all employee-related documents and files.

Why enableHR?

To improve HR information management and organisational efficiency, Illawarra Catholic Club chose enableHR to provide a centralised, consistent platform to manage each stage of the employment lifecycle, from pre-employment, new employee inductions, performance and conduct management, right through to employee termination.

Together with its complete records management system, enableHR drives greater efficiencies and compliance, and eliminates the Club’s dependence on cumbersome paper files. enableHR provides the Club with one location from which it can store and access all their employee documents, correspondence, performance reviews, disciplinary processes, grievance complaints, file notes and more. This gives the not-for-profit comprehensive compliance protection for current and archived employees, as well as contractors, and volunteers.

Subject to user permissions, duty managers are now empowered to be more accountable for day-to-day HR admin tasks through multiple stakeholders’ access, contributing to and manage files and related information from anywhere, at any time.

Overlaying the employee management platform is a comprehensive, integrated WHS framework, supporting the identification and resolution of hazards, incidents, consultation processes and return to work for both employees, contractors, club volunteers, members and other visitors.

With specific concerns around contractor management, Illawarra Catholic Club also realised it could make full use of enableHR’s contractor management capabilities. This module helps the Club manage these workers through the entire contractor lifecycle and follow best practices in everything from contractor onboarding and induction through to termination.
